January 4, 2007
MEETING NOTES

Present: Jake Viola, Ralph Cabana, Ralph Baxter, Sr., Ellen Brasier, Steve Bailey, Scott Pakulski, Dennis Welch, Eric Potvin, Dan Robbins, Randy Martin, Kathy Germani, Wendy Houlihan, Dave Brochu, Kevin Woodhouse, Megan Welter, Craig Roberts, Mark Reuscher, Ralph Baxter, Jr., Jeanne Crocker, Molly Aldrich, Carrie Hall-Indorf and Polly Ward.
- Welcome - review of agenda
- Approval of minutes from December 7, 2006
- Update of information from architect meetings since 12/7/06
- DEP
- to get their read on the storm water issue - took place 12/19/06
- Approached DEP on how they would look at the various changes to and catchment areas already existing
- They will forgive the run-off from the residential areas on the other side of Highland Avenue and Mountain View. Divert catchment area from underneath the building to along Mountain View. Remove the Community Center from the current pond - establish a treatment system for the Community Center
- Use pipe system under the existing High School parking lot.
- Establish wet pond to handle run off from the gym area and new play fields - this will be expensive due to need to remove ledge
- Meeting with the Fire Marshall 12/20/06 primarily concerning the G-1 scheme - notes were provided at the meeting
- Update of information regarding schemes: drawings and site
- Reviewed the complete G-1 scheme
- Would require about 6 portables
- Would enable us to build all the new large spaces - gym, library, cafeteria - all at the same time
- Number of classrooms the same as in E-8 - much less corridor space - saves about 25,000 sq ft.
- Update of information regarding cost estimates
- Question about whether the City would take the demolition debris and salvage
- Review of the phasing plan.
- Consideration / discussion of information provided
- Discussion of the synthetic field - if do this during the first year, will relieve the stress on the athletic program resulting from using field areas as a staging area - would add about $850,000 to the cost of either project, would also restore band practice area
- Decision to include the artificial turf - unanimous
- Concern was raised about the difference in height between the loading area and the stage - how to get things from the loading area to the stage - Scott said he could work on this to make it work.

- The G-1 scheme was recommended - Unanimous
- Wording of the recommendation to the Board of Education
- Recommendation to have June 2007 Referendum
- 14 for - 2 abstain - 1 opposed
- Proposed schedule of agenda content, mid-January - June 2007
- Hold the continuing meeting schedule until we know what our next steps will be
- Other
- Proposing a workshop with the Board of Education on these recommendations on 1/18/07
- This will be held from 6.30-8.30 p.m. in the Memorial Middle School Library if the Board of Education is available.
